Privacy notice: service requests
Aquabox Pump Systems Ltd (“Aquabox”, “we”) is responsible for the personal information you give us through this app. This notice explains what we collect, why, and your rights.
What we collect
When you request a service call: whether you are an installer or a homeowner, your name, phone number and email address, the address and Eircode of the unit, the unit’s serial number or a photo of the unit, the type of problem, your description, and any photos you add. We remove location and camera details from photos when we receive them. We also record when you read this notice, which version it was, and the internet address your request came from, to protect the service against misuse.
If an installer asked for the service call on your behalf, we received your address, and possibly your name, from them.
Why we use it
To arrange and carry out the service call you asked for, to check whether the unit is one of ours and under warranty, and to keep a record of the work. Our legal basis is taking steps at your request to provide a service, and our legitimate interest in keeping accurate service and warranty records.
Who sees it
We email you a confirmation, and send your request to our service team’s mailbox. Aquabox office and service staff, and the technician who attends, can see it. The app and our service records are run for us by Hughes Performance Technology Ltd, who act on our instructions, on servers in the EU.
To put the job on our service map and plan technicians’ routes, we send the site address to Google Maps or OpenStreetMap, and map positions to a route-planning service. Google may process this in the USA under the EU–US Data Privacy Framework. We don’t sell your information or use it for marketing.
How long we keep it
Service records, including your contact details, are kept for 6 years after the job is closed, in line with warranty and legal claim periods. Photos are kept for 2 years after the job is closed. The internet address recorded with your request is kept for 12 months. After that they are deleted or anonymised.
On your device
While you fill in the form, what you type (not photos) is saved in your browser so it isn’t lost if your signal drops. It is removed when you send the request, when you choose “Clear form”, or after 7 days. This app sets no cookies of its own.
Videos
Troubleshooting videos are provided by YouTube in privacy-enhanced mode, and nothing from YouTube loads until you choose a video. When you play one, YouTube (Google) receives your internet address and may store information on your device, under Google’s privacy policy.
Who this is for
This service is for adult homeowners and installers.
Your rights
You can ask for a copy of your information, ask us to correct or delete it, or object to how we use it. Contact us at info@aquaboxsystems.ie or 021 203 8808. If you’re unhappy with how we handle your information, you can complain to the Data Protection Commission (dataprotection.ie).
